What is a positive pay file?
Positive pay is a fraud-prevention service offered by most business banks. Each time you issue checks, you send the bank a list: check number, account, amount, issue date, and sometimes the payee. When a check is presented for payment, the bank matches it against your list and flags anything that doesn't match. It's one of the most effective defenses against check washing and counterfeit checks, and many banks now require it for business accounts.
Why do I need a converter?
Every bank wants the file in its own exact layout: fixed-width text or CSV with specific columns, date formats, and amount formats. QuickBooks and most accounting software can't export these layouts directly, which leaves businesses hand-editing text files every check run. This tool converts the register you already have into the layout your bank expects.
Is your bank not listed?
Start with a generic layout. Many banks (Zions, Synovus, KeyBank, and others) accept a file map you define yourself in their portal, and the custom layout covers those directly. If your bank enforces a specific format we don't have yet, email the spec sheet from your bank portal to [email protected] and we'll add it as a documented format.
