How to export a check register from QuickBooks
Get your checks out of QuickBooks as a CSV or Excel file with the columns a positive pay file needs: check number, date, amount, payee, and account.
QuickBooks Online
- Open Reports and search for the Check Detail report.
- Set the report period to your check run (for example, this week).
- Use Customize to confirm the columns include Date, Num (check number), Name (payee), and Amount.
- Choose Export and pick Export to Excel.
QuickBooks Desktop
- Go to Reports, then Banking, then Check Detail.
- Set the date range to your check run.
- Click Excel (or Export) and save as a workbook or CSV.
Menu names shift between QuickBooks versions. If your version differs, search its report list for "Check Detail"; any register or transaction report that shows check number, date, payee, and amount works.
Two things that prevent rejected files
- Keep leading zeros. If you open the export in Excel before converting it, format the account number column as text. Excel silently strips leading zeros from number columns, and banks reject or mismatch the result.
- Exclude non-check payments. Filter the report to checks only. ACH, transfers, and card payments do not belong in a positive pay file.
